Users and rights
Every person who works in the shop has their own account, limited to what they need to do. This is what lets you know who did what, and protects the cash and the prices.
Creating a user
Menu Settings › Secondary admins, button Add an admin.
- Enter their name and their phone number. This number is their sign-in identifier: it must be exact, and it cannot already be used by another account.
- Tick the rights you grant (details below).
- Click Create and generate password.
- The application shows the temporary password only once. Write it down and pass it on to the person.
- At their first sign-in, they will have to choose their own password.
The number of users depends on your plan. When the limit is reached, you must deactivate an account or move to a higher plan.
The list of rights
Tick only what matches the person's work. The fewer rights an account has, the less a mistake or an abuse can cost.
Sales
- Create a delivery voucher (cannot declare it cash or debt) — the seller prepares what the customer takes, but does not touch the money.
- Invoice a voucher (cash, debt, deposit) and collect debts — the cashier.
- Cancel a pending voucher
- Cancel an invoice (cash or debt) — keep it for a trusted person: a cancellation brings stock back and can take money out.
Prices
- See all prices (purchase prices, margins, profits)
- See selling price only (in Products and Stock)
Without either, no price is shown in Products & prices or in Stock.
Products and stock
- Manage products (create, edit, delete, prices) — includes "See all prices"
- Manage warehouses (create, rename, delete)
- Transfer stock between warehouses
- Supplier purchase orders (create, deliver = add to stock)
- Pay suppliers from the till
Dashboard
- Full dashboard (sales, cash, expenses, debts)
- Dashboard without finances (active products and low stock)
Other
- Reports — includes "See all prices"
- See history
- Loans / contributions
- Shop settings and subscription
- Create admins (only with their own rights) — a manager can create accounts, but can only give the rights they hold themselves.
Restriction
See only stock and delivery vouchers: when this box is ticked, the user sees only the stock and the slips, whatever their other rights. This is the account for the storekeeper who prepares the goods.
Some rights bring others with them: managing products, viewing reports or managing purchase orders also give access to purchase prices, since those screens display them.
Example profiles
| Position | Rights to tick |
|---|---|
| Counter seller | Create a slip, view the price list, dashboard without finances. |
| Cashier | Create a slip, invoice a slip, view the price list. |
| Storekeeper | The “stock and slips only” restriction. |
| Purchasing officer | Purchase orders, manage products, transfer stock. |
| Manager | All sales and stock rights, cancel an invoice, reports, history, full dashboard, loans, pay suppliers. |
Edit, reset, deactivate
In the list of users:
- Edit: change their name, phone or rights. If the phone changes, their sign-in identifier changes too.
- Reset: shows a new temporary password, for a user who has forgotten theirs.
- Deactivate: the account can no longer sign in. Nothing is erased: their sales stay under their name in the history. This is what to do when an employee leaves the shop.
- Reactivate: gives access back.
Never share an account between two people, and do not give the primary administrator's account to an employee. One account per person takes a minute and avoids most cash disputes.
