Products, prices and wholesale

The catalogue is the basis of everything: a product must exist, with its prices, before it can enter stock or be sold.

Creating products

Menu Stock › Products & prices, button New products. The form lets you create several at once.

  1. On each line, enter the name (50 characters at most), the purchase price and the selling price, in the shop's currency.
  2. If the product is already on the shelf, enter its Starting quantity (0 if there is none). With several warehouses, choose the one where these quantities go.
  3. Add a line adds one more product.
  4. Finish with Save products.

The application refuses two products with the same name in the same shop, a negative price, and going over the number of products allowed by your plan.

The purchase price is used to calculate profit in the reports. If it is wrong or left at zero, the profit shown will be wrong too.

Wholesale (carton, bag, crate…)

The same product can be sold by the piece and wholesale. Stock, however, is always counted in pieces.

In the product form, open Also sold in bulk (carton, bag…) — optional and fill in:

Example. A bottle sells for 1,000. The carton of 12 sells for 11,000. At the sale, the seller chooses “retail” or “wholesale” on each line: 2 cartons take 24 bottles out of stock and bill 22,000.

Changing prices

The Products & prices page shows the catalogue with, for each product, the purchase price, the selling price, the margin and the total stock. It is read-only: nobody changes a price by accident while looking at it.

  1. Click Edit prices, at the top of the page. The prices become fields to fill in.
  2. Change the prices you want, on as many products as needed. The margin is recalculated as you type.
  3. Click Save prices once. Cancel leaves without saving anything.

The search and the stock filter (In stock, Low stock (< 10), Out of stock) help find a product in a long catalogue.

Changing a selling price does not alter invoices already made: each invoice keeps the price of the day it was recorded.

The purchase price can also be updated automatically when a purchase order is received: see Suppliers and purchase orders.

Editing or deleting a product

The pencil icon (Edit name and prices) opens the form: name, prices, wholesale setting, and the product's stock in each warehouse. Stock is not changed here but in the Stock menu.

Delete removes the product from the catalogue. Invoices that include it stay intact in the history.
