Invoices: find, edit, cancel
An invoice is a sale that has been collected. It is no longer edited, but it can be found, printed and, if necessary, cancelled with a full trace.
Finding an invoice
Menu Sales › Invoices:
- Today's invoices: invoices paid today;
- History: all invoices, from the most recent to the oldest;
- Search: by date, customer name or phone, for example “27/04/2025” or “Amanda”.
Each list also has its own quick search box (customer, phone, time, amount).
What an invoice shows
The customer, the date and time, the products with quantities and prices, the total, the payment method, what has been paid and what is still owed. From this screen:
- Print invoice (PDF): the invoice with the shop's name and logo;
- Delivery note (PDF): the document for handing over the goods;
- Collect a payment: on a credit invoice, record a payment from the customer;
- Cancel invoice.
Why an invoice cannot be edited
A collected invoice has already acted on the cash and, if it is on credit, on the customer's debt. Correcting it silently would distort the closing and the reports. The rule is therefore simple: a pending slip is edited freely; an invoice is cancelled, and a correct one is made again.
Cancelling an invoice
Cancel invoice asks for confirmation. On cancellation:
- the products return to the warehouses they came from;
- the invoice stays visible in the history, marked cancelled, with the date, who cancelled it and its previous state (paid, on credit or pending slip);
- if it was on credit, the customer's debt disappears.
Refunding the customer
If money had already been received on the invoice, the application asks what you give back to the customer:
- Amount given back to the customer: all or part of what had been received;
- Given back with: the method through which the money leaves;
- Do not refund now (the amount stays owed to the customer): the amount then stays owed to the customer, and is refunded later from the cancelled invoice.
The refund comes out of the cash of the day it is made, and it appears at closing on the Customer refunds line.
An invoice can no longer be cancelled if its day is closed, or if one of the payments received on it belongs to a closed day. This is intended: closed days no longer move.
Rights required
- Cancel an invoice (cash or debt): cancel a paid or credit invoice, and refund the customer.
- Invoice a voucher (cash, debt, deposit) and collect debts: collect a payment on a credit invoice.
